The Tshwane School for Business and Society has a permanent position of a Departmental Administrator at The Tshwane School for Business and Society, Ditsela Place, 1204 Park Street, Hatfield.
Critical Performance Areas
· Rendering departmental administrative functions related to the overall efficiency and effective running of programmes in the department.
· Course administration which includes handling selection, registration, student enquiries, setting of timetables, organizing tests and invigilation, student accounts and results, ordering and distributing of books.
· Coordinate documentation regarding student matters within the department e.g RPL, exemptions, status postgraduate forms, departmental prospectus, SLP’s, subject levies and SEP
· The creation of financial and statistical tools and reports using spreadsheets.
· Financial administration of the departmental budgets as well as purchases and inventories as required.
· Analysis and interpretation of financial statistics and other data and the production of relevant reports.
· The management, organization and updating of relevant data using database applications.
· Maintaining and implementing effective administrative systems and procedures according to quality management requirements.
· Communicating and providing information by the relevant methods internally and externally to assist and enable the smooth operation of the department.
· Convening the departmental meetings; writing up the minutes and attending to appropriate follow-up tasks.
· Liaison with internal and external stakeholder, for example, industry and the Director`s office.
· The administration of part- time lecturer and student assistant appointments.
· Supervising the duties of the student assistant.
· Adhering to stated policies and procedures relating to quality management of departmental venues, offices and inventory.
Minimum Requirements
· A three (3) year qualification in Office Management/Administration or equivalent. NQF Level 6 with a minimum of 360 credits
· Three (3) years relevant at Secretary/Research Administration/ Departmental Administrator Assistant Level of working in an academic environment.
· Proficiency in office packages (Microsoft Word/Excel/PowerPoint).
· Proficiency using ITS, iEnabler, HEDA/MIS
Knowledge and Skills
· Detailed knowledge of the contents of the PQM offered within the department.
· R & I administrative support to staff and students.
· Knowledge of TUT procedures and policies.
· Financial Management
· Experience in research administration
